When should you automate what follows a contact form?

Not every enquiry needs AI. Often, a reliable handover is the better starting point.

Look at the current process first

Follow an enquiry from arrival to reply. Where is information copied? Where is ownership unclear? Which steps repeat? Those observations are a better starting point than selecting a tool.

Start with straightforward rules

An acknowledgement, assignment to the right person and a clean CRM entry often need no AI. Explicit rules can be tested and failures traced. Start where the manual work actually happens.

Plan for exceptions

What happens when a service is unavailable or information is missing? A process needs visible failures and an owner. Test duplicate enquiries and invalid inputs as well as the successful path.

Give AI a specific job

Summarising unstructured messages can be useful. Binding quotes or commitments should not be issued without approval. First decide which data may be processed, how results are checked and who handles uncertainty.

Check the benefit

Measure the same things before and after the change: time to first response or manual effort per enquiry, for example.
